Efficiently managing and transporting your newly acquired equipment is crucial to ensure a smooth transition and maximize the value of your investment. Winning Bids and Initial Steps

The moment you win a bid, there are several critical steps to take:

  • Confirm Your Purchase: Review the auction terms and ensure you understand the timeline for asset removal and payment processes.
    • Payment Process: At the conclusion of the auction, you will receive an invoice via email, including a link to make a payment through our secure gateway. Payment must be completed by noon the day after the auction. Failure to do so may result in forfeiture of your purchases, resale to other customers, and suspension of your bidding account. Once payment is made, you will receive a paid receipt, which you must present to remove any purchases.
    • Security of Purchases: Transfer of ownership occurs once the item closes, making it the buyer’s responsibility, even if payment has not yet been made. A third-party removal/rigging company will handle security and removal after the auction.

Retrieving Your Items

Once you've won your bid and paid for you items, it's time to pick them up! Each auction has a designated removal window in which you are able to retrieve your items. The number of days allotted for removal depends on the auction size - typically the bigger the auction, the longer the removal time. Buyers can choose to pick up the items themselves or work with a trucking company. While we do not provide shipping, we have trusted companies that we can suggest.

If you choose to work with a third party to pick up your items, choosing the right contractors for asset removal is essential for a successful transition:

    • The removal/rigging team that Grafe Auction hires is onsite after each auction. Bidders have the opportunity to hire this team to assist you with removing your equipment, preparing your equipment for shipment, or other services.

  • Logistics Planning:
    • Assess the scope and scale of the move and coordinate with the auction company and contractors. Tip: before bidding try to understand the scope of this move so you're not caught off-guard. Grafe Auction staff is always happy to answer questions, and you are welcome to view the items before the auction as well.
    • Schedule pickups and deliveries to fit within your operational timeline and the removal schedule. Hint: Each auction on our website has a section titled 'Removal, Shipping Information and Special Terms'. Among other important information, this section has a link to schedule pick-up time, contact information for the onsite team, and trucking company recommendations.
  • Organizing and Labeling:
    • Use inventory management systems to keep track of your assets.
    • Implement labeling systems to identify and handle items easily.

When picking items up yourself, make sure you bring the tools you need to remove them, when necessary, and it's always a good idea to bring someone with to help! Removal is much quicker when you're not doing it alone, and some items are too heavy for one person to carry.
